Appointment reminders and confirmations need to be classified and budgeted under the rules in force for the recipient’s market when the message is delivered. Use the current rate card in every proposal rather than copying an old monthly estimate.
Stage 1 — Day before:
“Hi Sarah 👋 Reminder: you have an appointment tomorrow (Tue, Mar 12) at 10:00 with Dr. Cohen.
✅ I’ll be there ❌ Need to cancel/reschedule”
Stage 2 — Two hours before:
“Hi Sarah, final reminder: your appointment is in 2 hours (10:00). Address: 15 Main St, Suite 2.
✅ On my way! ❌ Can’t make it”
Stage 3 — Auto-cancellation: If Sarah taps “Can’t make it,” the bot:
- Cancels the appointment in the calendar
- Sends a message to the first patient on the waitlist
- If a waitlist patient confirms, the calendar reserves the slot
- Front desk gets a notification with the update
The flow gives the clinic a documented chance to offer the slot again. It does not guarantee that anyone will accept it.

A patient sends “I need to reschedule.” The bot finds their existing booking, offers alternative times, moves the appointment once they choose, and lets the front desk know — all without anyone picking up the phone.
3. Smart Waitlist
When a slot opens, the bot can message the first person on the waitlist. If that person declines or does not answer within the clinic’s chosen window, the flow can move to the next person. Staff receive exceptions and status updates.
4. Pre-Treatment Prep Instructions
The day before an appointment, the bot automatically sends the patient everything they need to know:
- Fasting or preparation instructions specific to their treatment
- What to bring (ID, prior test results)

One Reminder Schedule Does Not Fit Every Clinic
An earlier reminder gives a patient time to reorganize, while a later reminder is closer to the appointment.
