A patient sends “I need to reschedule.” The bot finds their existing booking, offers alternative times, moves the appointment once they choose, and lets the front desk know — all without anyone picking up the phone.

When a slot opens, the bot can message the first person on the waitlist. If that person declines or does not answer within the clinic’s chosen window, the flow can move to the next person. Staff receive exceptions and status updates.

4. Pre-Treatment Prep Instructions

One Reminder Schedule Does Not Fit Every Clinic

The right schedule depends on the treatment, patient group, consent, and how quickly the clinic can use a cancellation. Technically yes, but we advise against it — medical test results are sensitive, and WhatsApp is not the right place to share them. What we do instead: the bot sends the patient a message saying their results are ready, and includes a link to a secure private portal where they can view them. For non-sensitive messages like reminders or preparation instructions, WhatsApp is perfectly fine.
